The Registration Process
You will be asked a series of questions that are personal. We ask these questions to ensure that you qualify to receive our services and to ensure we can provide you with the best service possible. We also ask these questions because we have specific employers on our client list who want to diversify their staffing groups. For example, by hiring more people with a disability or more people with a criminal conviction. Remember, of our employers have signed up to use our services because they want introductions to candidates with diverse backgrounds and experiences.

- Policy Overview
This Privacy Policy details how the data collected by Employment 4 All Ltd (CIC) will be processed, utilised, disclosed and protected. Please read this Privacy Policy carefully before you provide us with any personal information so that you fully understand how your data is collected, processed, utilised, disclosed and protected.

To carry out our core recruitment activities, we collect information about you which may include:
- your name
- address and postcode
- private and corporate e-mail address
- phone number
- employment history
- education history
- financial information and compliance documentation
- references verifying your qualifications and experience
- documents that verify your right to work in the United Kingdom
- curriculum vitae
- photograph
- employment details and preferences
- links to your professional profiles available in the public domain e.g. LinkedIn, Twitter, Facebook for Business or corporate website.
Some of the information we collect about you is considered to be sensitive personal data. This may include:
- age
- ethnicity
- sexual preferences
- alcohol and other drug use
- parental status
- disability or other illness
- physical or mental health
- experience of homelessness
- experience of the care system
- experience in the armed forces
- criminal convictions/offending behaviour
This sensitive information is subject to enhanced safeguard and is typically collected during the registration process. The information is used to assess a candidates eligibility for Radical Recruit CIC services as well as a candidates readiness for work. We may also use this information to determine a candidates suitability for a vacancy we are working on. For example, when a partner has taken the decision to take positive action and is seeking to address under-representation of a particular group of people with a or multiple protected characteristics such as disability or ethnicity in their workforce.
- Disclosing the information we collect
We may share the information that you provide to us in the following situations:
- with partner organisations, including referral partners, other specialist service providers and employers, to facilitate the provision of our recruitment consultancy services as well as pre-work and post-placement support services.
- with the police or the local authorities where we consider this necessary to protect the safety of yourself or others.
There may also be situations where we are required to share the information that you provide to us to comply with our legal obligations. Your information is not disclosed to third parties for marketing or advertising purposes unless with your express and written consent.
- How we collect this information
The information collected by Employment 4 All Ltd (CIC) can be provided via the following methods

- by attending our events
- by participating in discussion boards or other social media functions on our website including when entering a competition, promotion or survey, and;

We may also obtain information about you from other sources such as LinkedIn, Twitter, Facebook, corporate websites, job board websites, online CV libraries, your business card, personal recommendations, and any relevant social media sites.
- Where we store your data
All information stored on our recruitment software is secured through the Microsoft Azure Infrastructure and located at two data centres locations within Europe. Our primary centre is located in Microsoft’s Western European centre, and these facilities are secured by a series of measures, including (but not limited to) biometric access, security alarm systems and round-the-clock security staff. - How long we keep your data for
We retain different types of data for differing periods. The criteria we use to determine whether we should retain your data and how long for includes:
- The nature of the personal data
- Its perceived accuracy of your data
- Your engagement levels with our services
- Our legal obligations following an offer or when a placement has been made.
We may archive part or all of your data, or retain it on our financial systems but delete all or part of it from our recruitment software system. On removal, we may anonymise parts of your data – particularly following a request for suppression or deletion of your data – to ensure we do not re-enter your data to our database unless you have requested us to do so.
Our current retention period for data on candidates who have not been placed or are no longer showing any signs of engagement with our website or via any other modes of contact including by phone and email is three years.
- Your rights
The GDPR provides you with the following rights:
- The right to be informed about the personal data we process on you
- The right of access to the personal data we process on you
- The right to rectification of your data
- The right to the erasure of your data in certain circumstances
- The right to restrict processing of your data
- The right to data portability in certain circumstances
- The right to object to the processing of your data
- The right not to be subjected to automated decision-making and profiling.
- How we use the information we collect
If you are a supporter, we predominantly use the information that you provide to us to contact you with information about our work and future fundraising events. If you are a candidate, we will predominantly use the information that you provide to us to facilitate placing you with a partner organisation.
- How we protect the information we collect
We will take appropriate technical and organisational measures to protect any information which you provide to us. Although we take appropriate measures to prevent information from being lost, destroyed, damaged or unlawfully processed, we cannot guarantee this will not occur.
- Keeping your information confidential
Radical Recruit Staff, contractors, volunteers and clients have the responsibility of keeping candidate information confidential after the recruitment process is over. To protect a candidate’s personal information we use the following security measures.
- Recruiting software – Employment 4 All Ltd (CIC) utilises recruiting software (FireFish) to keep candidates’ information private. Each user of our recruitment software has a certain level of access assessed as appropriate to facilitate their work. This access is reviewed regularly and provided following a thorough induction and the signing of the relevant policies.
- With recruiting software, you can store all of your candidate and client information in one place for easy access and safe-keeping.
- Strong passwords - Securing personal information begins with using strong passwords. The more complex the passwords are, the better. Instead of using the same password for everything or a variation of passwords, we use unique passwords with multiple numbers, symbols, and letters. These passwords are used to protect documents, such as candidate forms that include personal information. The password provides an extra layer of protection to secure candidate or employee information.
- Secure networks - Network security is crucial inside and outside the office. All staff and volunteers make sure their system is secure when accessing sensitive candidate files or information using a firewall, password protecting the network, and using a virtual private network (VPN) to keep data secure.
- Awareness- Cybersecurity is a top priority when handling sensitive candidate information. Hackers create new and innovative threats every day. If you receive an email asking you to click on a suspicious link or provide private information about a candidate, do not click on it. Report the threat and delete the email.
Any third parties (as detailed in point 4) to whom your information is disclosed are also required to take appropriate measures to protect that information.
- Legal Basis
Depending on the service you use, we will collect your information under one or more of the following legal bases:
- Consent – we will use this where we can offer you a choice as to whether or not we collect, store, share or otherwise process your information. This will be made clear to you, and will not be done unless we have your consent.
- Public interest – where we are working to assist with public law we will collect your information under public interest. We will be clear about why we have to collect this information, how it will be used, who you can expect it to be shared with and why.
- Contract – in some cases we need to collect information to fulfil a contract, this information will always be anonymised. For example, where we are required to report on candidate diversity.
- Legitimate interest – we may collect other information about you which we believe will assist you when you are with us. This will be used to ensure you are receiving tailored and specific support around your recruitment, pre-work and post-placement needs.
- Legal Obligation - Sometimes we may need to store and share information where Radical Recruit has a legal obligation to do so; for example, we may need to store information to comply with health and safety legislation
